Workflow

How Estate Vault works

You decide what must be done. Estate Vault helps you record property, money, decisions, and distributions — then export a clear record for counsel to review.

Steps 1–2

Set up the estate — then record will instructions yourself

Create the case, set your admin access, and enter basic probate details when you have them. You type gifts, people, and notes from the will. The app does not read or decide those instructions for you.

  • One workspace per estate (case)
  • No required upload of the will, death certificate, or Letters
  • Start documenting before every paper is in hand

Step 3

Inventory property with photos and rooms

Capture what is in the house by room. Add photos, titles, and reference codes so family, helpers, and counsel can talk about the same item.

  • Photo-backed inventory instead of scattered lists
  • Helpers can submit items for PR review
  • Status and value tiers stay with each item

Steps 4–6

Track money, document decisions, update beneficiaries

Keep Funds, expenses, debts, and PR advances in one ledger picture — including Cash available. Log decisions as you go. Invite family and send Family Updates so heirs see progress without endless group texts.

  • Cash available and Estate balance from what you recorded
  • Decision notes and activity history in the record
  • Role-based access for family and helpers

Steps 7–8

Record distributions — then export the final record

Document cash and property distributions with receipts. When you are ready, export court-supporting packs and formal accounting for your attorney to review before any filing.

  • Distribution receipts and acknowledgements
  • Optional sales / auctions when you need them
  • Exports support counsel — Estate Vault is not court e-filing
